Description:

Position Summary: Under the supervision of the Deputy Director, Contracts and Procurement, the  Procurement Coordinator will support and coordinate the development and management of procurement activities. Performs related work.

 

Reports to: Deputy Director, Contracts and Procurement

 

Direct Reports: N/A

 

Key Relationships Engagement with BERS departments, external community and business partners.  

Responsibilities

 

  • Coordinate, monitor and collaborate on a variety of special projects requiring research, analysis, and planning to support BERS operations on behalf of the prospective, current and retired membership community.
  • Support project coordination and technical assistance to internal stakeholders, external community and business partners.
  • Interact with internal and external parties to ensure efficiency and improvement in communication between BERS and the vendor/contractor community.
  • Support, monitor and coordinate project workflows by closely working with internal and external community partners to ensure that all procurement activities are compliant with the necessary requirements.
  • Conduct, coordinate and update analyses and presentations using Microsoft Excel, PowerPoint and other analytical tools assigned.
  • Coordinate and support research pertaining to Contractor/Vendor Responsibility determination and performance evaluations.
  • Plan, coordinate, and monitor project progress/updates via status trackers, analysis, briefs, and memos.
  • Coordinate and support responses to internal and external community inquiries by researching historical contract information in various systems and resources.
  • Track and review requests for long distance travel and reimbursements to ensure compliance with BERS policies and procedures.

 

Qualification Requirements:

Minimum

  1. A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
  2. High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
  3. Education and/or experience which is equivalent to “1” or “2” above.  However, all candidates must have at least one (1) year of experience as described in “1” above.

In addition to meeting the minimum requirements, individuals must have two additional years of relevant work experience.

 

Preferred

 

  • Self-starter with a sense of urgency who can adapt to changing priorities and work effectively in a fast paced environment.
  • Able to work under pressure and to meet deadlines consistently.
  • Possess strong written and spoken communication skills and attention to detail.
  • Proven ability to interact professionally with a diverse group of project managers, administrative staff, and vendor community.
  • Ability to collaborate on a team and with a diverse set of stakeholders.
  • Strong organizational skills, with a high attention to detail and follow through.
  • Proficiency in Microsoft Office 365 Application.
  • Time management skills, especially when handling multiple high-priority projects simultaneously.
  • Knowledge of financial, accounting, and procurement management systems; experience with PASSPort is preferred.
  • Understanding of, or interest in, public sector procurement.
  • Strong quantitative and qualitative analytical skills; strong critical writing skills.
  • Ability to multitask and complete job functions in an orderly, efficient manner.

Salary: $72,114  - $85,000

 

(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
